Refund Policy

To protect the legitimate rights and interests of registrants and the organizer and standardize the registration refund process, this policy is formulated, which applies to all members who register for competitions through official channels.

1. Preconditions for Refund Application
Applicants shall submit refund applications via email to worldcupdance2016@gmail.com within the specified time limit, and provide supporting materials including registration vouchers and personal identification information for the organizer to verify identities and registration details.

2. Refund Rules by Stages
(1) Refund application submitted before the registration deadline
If an applicant applies for a refund prior to the registration deadline of the event, the organizer shall fully refund the paid competition entry fee without deducting any service charge.
Upon approval of the application, the funds will be returned to the designated account provided by the applicant within 3 to 5 working days.
(2) Refund application submitted after the registration deadline but before or after the event commences
If a registrant applies for a refund due to personal reasons at any time after the registration deadline, before the event starts or after the event officially kicks off, the organizer shall not refund any portion of the entry fee.
(3) Event cancelled after official commencement
If the event is cancelled due to reasons attributable to the organizer, the organizer shall fully refund all fees paid by registrants without any service charge deduction. Refunds will be transferred to registrants’ designated accounts within 3 working days following the issuance of the event change notice.

3. Refund Rules for Special Circumstances
(1) Force Majeure
If the event cannot be held normally due to force majeure such as earthquakes, floods, epidemics and other unforeseeable events, the organizer will offer registrants three options based on actual conditions: full refund, event postponement or transfer to a similar alternative event. Should the registrant opt for a refund, the organizer will complete the refund procedure within 3 working days after verifying the force majeure situation.
(2) Special personal circumstances of registrants
Registrants who are unable to participate due to sudden severe illness, accidents or other exceptional personal situations must submit supporting documents including hospital diagnostic certificates and accident identification papers. Subject to review and confirmation by the organizer, a full refund may be granted. Funds will be remitted to the registrant’s designated account within 3 working days upon approval.

4. Review and Handling of Refund Applications
The organizer will complete the review of a refund application within 1 to 2 working days upon receipt. Approved applications will be processed in accordance with the corresponding refund rules. If an application is rejected, the applicant will be promptly notified of the reasons for rejection together with alternative solutions.
Registrants who disagree with the refund decision may file an appeal with the organizer’s customer service department within 3 working days of receiving the refund notification. The organizer will conduct a re-verification and issue the review result within another 3 working days.

5. Miscellaneous Provisions
Matters not covered herein shall be resolved through negotiation between the organizer and registrants. Should negotiation fail, a lawsuit may be filed with the people’s court at the venue where the event is held.
The organizer reserves the right to revise this policy in light of actual operational needs, and the revised version will be publicly announced in advance via official channels including the official website and WeChat Official Account.
By submitting a registration application, the registrant is deemed to have fully agreed to this Refund Policy, and the organizer shall carry out all refund-related operations strictly in accordance with this policy.
